BIKE O & COMPANY, Ltd. has set forth these Personal Information Protection Guidelines in order to protect and properly handle the personal information that we obtain from customers.

    At BIKE O & COMPANY, Ltd. we protect personal information and practice proper handling in compliance with the Act on the Protection of Personal Information (hereinafter referred to as the "Personal Information Protection Law"), other laws and regulations, as well as guidelines including Guidelines on the Act on the Protection of Personal Information .

  3. 3Purposes of Use

    BIKE O & COMPANY, Ltd. complies with the Personal Information Protection Law, using the personal information that we obtain from our customers (i.e., personal information, personal identification codes, information related to personal information , and sensitive personal information, as specified under the Personal Information Protection Law) for the following purposes.

    1. 1To carry out the purchase, sale and maintenance of motorcycles requested by customers, and to deliver products purchased by the customer through direct marketing.
    2. 2To perform sales and name changes to third parties of motorcycles, etc., purchased from customers.
    3. 3To execute credit checks for motorcycle purchases made through installment sales.
    4. 4To carry out registration (renewal vehicle inspections) and tax payments for motorcycle purchases made by the customer from BIKE O & COMPANY, Ltd.
    5. 5To act as an agent for the customer in vehicle liability insurance enrollment, renewal or cancellation, etc.
    6. 6To notify customers of recall information, periodic inspections, vehicle inspections, etc., as well as non-life insurance policy expiration dates, etc.
    7. 7To provide customers with warranties covering vehicles that BIKE O & COMPANY, Ltd. sells as an authorized dealer, based on warranty certificates issued by the general sales agent.
    8. 8To offer customers information we consider to be beneficial to them, and to ship prizes to those who win drawings they have entered.
    9. 9To collect customer opinions/impressions of our service.
    10. 10To improve and elevate the customer experience offered by our digital services (website, mobile app, etc.).
    11. 11To distribute behavioral targeting ads using advertising distributors such as Google and Yahoo.
    12. 12To gain an understanding of customer interests and preferences, etc., by analyzing such acquired data as customer attribute information and behavioral history.
    13. 13To respond to opinions and inquiries from customers. In order to improve the quality of our telephone call responses and for an accurate understanding of inquiry content, we record the content of our telephone interactions with customers.
    14. 14To produce statistical materials categorized by attributes (age, address, etc.) of customers and others. At some stores, the customers' store visit history, presumed attributes, and return visit information will be acquired with cameras installed on the premises. Once a customer's appearance and personal characteristics have been converted to data, their image is discarded, and data such as store visit history is deleted after one month has elapsed since their most recent visit.
    15. 15For other purposes incidental to or related to our business operations. We may engage in outsourcing for the purpose of smooth execution of business operations, and may entrust the outsourcing contractor with personal information within the necessary scope. In such a case, BIKE O & COMPANY, Ltd. will conclude an agreement with the contracting company concerning personal information handling, and will perform appropriate oversight.
  4. 4Matters Related to Security Management Measures

    BIKE O & COMPANY, Ltd. has established a set of Personal Information Protection Guidelines, and maintains regulations for the handling of personal data, including our Rules for Handling Personal Information, Detailed Rules for Handling Personal Information, and our Confidential Information Management Manual. We undertake security management measures that are necessary and appropriate for the management of such data, including organizational, human, physical and technical security management measures to prevent leakage, loss or damage. Moreover, we perform necessary and appropriate oversight with respect to employees, contractors (including subcontractors, etc.) and business associates that handle personal data.

  5. 5Provision of Personal Information to Third Parties

    With the exception of the following cases, BIKE O & COMPANY, Ltd. will not provide or disclose personal information obtained from customers, etc., without obtaining their prior consent.

    1. 1When disclosure or provision is sought pursuant to laws and regulations
    2. 2When disclosure or provision is allowed by law or regulation
    3. 3Matters for which provision is, as a general rule, to be suspended in accordance with a prior request by the customer, etc. ("opt out")

    The particulars pertaining to matters specified in (3) are as follows.

    a. Third parties may be provided with personal information included in various documents of motor vehicle liability insurance policies motor vehicle inspection certificates, etc.

    b. The information to be provided refers to that which is included in each document (insurance policy numbers, addresses, names, etc.)

    c. The method of provision will be that of delivery of the documents to the third party. The method of delivery will be carried out with respect to local government bodies, the Japan Light Motor Vehicle and Motorcycle Association, the local (land) transportation bureau, the transferee, etc., for name changes, vehicle scrapping procedures, etc., at time of transfer (sale), etc.

    d. We will suspend provision to third parties of the information described in items a. and b. above in accordance with a prior request by the customer, etc. In such cases, it may be necessary for customers themselves to complete various procedures for canceling insurance policies, changing names or scrapping motor vehicles, etc.

  6. 6Shared Use of Personal Information

    BIKE O & COMPANY, Ltd. will engage in the following shared uses of customers' personal information.

      BIKE O Direct Co., Ltd., Life & Company, and manufacturers or general sales agents (importers) for which BIKE O & COMPANY, Ltd. acts as an authorized dealer
    2. 2Personal information items for shared use
      Customer addresses, names, telephone numbers, vehicle registration numbers, vehicle identification numbers, e-mail addresses, etc.
    3. 3Purposes of use
      Refer to preceding item 3.

  7. 7Inquiries Regarding Personal Information

    BIKE O & COMPANY, Ltd. will respond promptly upon receiving a customer inquiry regarding their own personal information, or a request to disclose, correct or suspend use (hereinafter referred to as "inquiry, etc."). Inquiries, etc., made by customers, etc., regarding their own personal information must be made using procedures specified separately by us.
